About Organisation Group Administrators (OGAs)

 

An Organisation Group Administrator (OGA) is an Iron Mountain Connect Records Management administrator who is able to:

 

Manage standard Records Management users:

  Manage (create, activate/terminate, view, update, grant organisational access and clone) other OGAs:   

Organisation Group Administrator (OGA) Permissions

 

Permissions enable organisation group administrators to view and access workflows in Iron Mountain Connect Records Management. The system administrator must manually set permissions when creating or assigning an OGA.

 

Grant full permissions or limit the Organisation Group Administrator's permissions as appropriate. As a control mechanism, you can set up an OGA who has fewer permissions than the standard users in the organisation group. In this case, the organisation group administrator will be able to view the standard user's permissions, but will not be able to change them, and should the standard user's permissions need to be updated, the CUA for the company will need to make these changes.

 

Creating an Organisation Group Administrator (OGA)

 

Only Client User Administrators (CUAs) and OGAs are able to create Organisational Group Administrators (OGAs).

 
     
  1. Click Manage Users from the My Quick Links section on the Iron Mountain Connect homepage, or access it from the Users portal in the centre section of the screen. 
  2. Click the Create User button. The User Profile screen is displayed. 
  3. Complete all required fields. 
  4. From within the Account section of the screen: 
 

a. Select the Records Management application. This field MUST be selected when using organisation groups.

 

b. Set the Records ManagementRole to Organisation Group Admin.

 
     
  1. Click Save. The user profile is created; however, you must grant the user system permissions and organisational access to Iron Mountain Connect Records Management functionality. 
  2. Click theRecords Management Access/Permissionslink to open the Records Management Access/Permissions screen.
       
    • AssignPermissions: Grant the appropriate permissions. Refer to the Organisation Group Administrator (OGA) Permissions section above. 
    •  Assign Organisational Access:  
         
      • Click the To Organisation Group tick box, then type the name of the organisation group in the drop-down search entry field to the right. 
      • Click the tick boxes to assign access to the organisation groups that this OGA will oversee. The OGA will be able to create standard Records Management users and other OGAs and assign them to these organisation groups only. 
        
     
    NOTE: OGAs can create other OGAs with the same organisation group access and permissions they have.
      
  3. Click Save.  The OGA can now create and manage standard Records Management users and OGAs with access to any of the organisations within the organisation group.
